Privacy Policy
Effective: August 31, 2026
This Privacy Policy explains how Valiant Group LLC, doing business as ValiantML ("ValiantML," "we," "us," or "our"), collects, uses, and discloses personal data through valiantml.com, our customer accounts, and our email-based construction document service (together, the "Services").
This policy does not replace a customer's contract with us. When we process project files, emails, or other data for a business customer, that customer may control the data and ValiantML may act as its service provider or processor. The customer's agreement with us governs that processing.

We may collect the following categories of personal data:
- Contact and business data: name, work email address, telephone number, company, role, and information submitted through our contact form.

Please do not send us sensitive personal data that is not needed for the requested work. Customer files may contain personal data selected by the customer. Customers are responsible for having authority to provide that data to us.
Where Data Comes From
We collect data directly from you, your employer, or another authorized user; from emails, files, and systems a customer authorizes us to use; automatically when you use the Services; and from public agencies and other lawful public sources.
How We Use Data
We use personal data to:
- provide, secure, support, and improve the Services;
- authenticate users and enforce organization and project boundaries;
- receive customer emails and files, perform requested document work, create cited findings, and return drafts or completed work;

We do not use customer project content to advertise to individuals. We do not sell personal data. We do not process personal data for cross-context behavioral advertising or for profiling that produces legal or similarly significant effects.
AI Processing
The Services use automated systems, including third-party AI model providers, to analyze authorized customer content and prepare proposed answers, citations, and files. ValiantML applies technical and human-review controls, but automated output can be incomplete or incorrect. Customers must review material findings before relying on them for bids, contracts, safety, code compliance, cost, labor, or schedule decisions.
We send providers only the content reasonably needed to perform the requested task. Our service providers may process that content only under their service terms and our instructions. We do not sell customer inputs or outputs.
How We Disclose Data
We disclose personal data only as needed for the purposes above, including to these categories of recipients:
- Cloud infrastructure, database, and storage providers, including Railway and Supabase;
- Identity and access providers, including WorkOS;
- Email infrastructure providers, including AgentMail;
- AI model providers, including OpenAI;
- Monitoring and error-diagnostic providers, including Logfire and Sentry;
- Website form providers, including Basin, when you submit the contact form;
- Content delivery and public-data providers, when the website loads an authorized public asset or dataset;
- Professional advisers and contractors who are subject to confidentiality duties;
- A successor in a business transaction; and
- Government authorities or other parties when disclosure is required by law or reasonably necessary to protect rights, security, and safety.
We may disclose data to a customer organization and its authorized users. We do not disclose one customer's private project data to another customer.
Cookies and Similar Technology
The public marketing site currently uses no advertising or analytics cookies. It may store a theme preference in your browser. Authenticated customer services use cookies that are necessary for login, security, and session management. See our Cookie Policy for details.
Data Retention
We keep personal data only for as long as reasonably necessary to provide the Services, meet contractual commitments, maintain security and audit records, resolve disputes, and comply with law. Retention depends on the data type, customer instructions, account status, backup cycle, and legal requirements.
When a customer agreement ends, we delete or return customer-controlled data as the agreement requires, subject to limited backup, security, fraud-prevention, and legal-retention needs. Public-source records may remain available from their original public source.
Security
We use administrative, technical, and organizational safeguards designed to protect personal data. These include organization-scoped access controls, restricted service roles, encryption in transit, protected storage, logging, and backup procedures. No system is completely secure, and we cannot guarantee absolute security.
Location of Processing
ValiantML is based in the United States. We and our service providers may process data in the United States and other locations where they operate. Those locations may have different data-protection laws than your location.
Your Privacy Rights
Depending on where you live and subject to applicable exceptions, you may have the right to confirm whether we process your personal data; access or obtain a portable copy of it; correct inaccurate data; delete data; obtain information about third parties that received personal data; and opt out of sale, targeted advertising, or certain profiling.
ValiantML does not currently sell personal data, use it for targeted advertising, or use it for profiling that produces legal or similarly significant effects.
To make a request, email aidan@valiantml.com with the subject Privacy Request. Describe the request and the email address or organization connected to the data. We may need to verify your identity and authority. You do not need to create a new account to submit a request.

Third-Party Sites
The Services may link to sites that we do not control. Their privacy practices are governed by their own policies.
